Virtual Cards

What types of Virtual Cards can I issue?

You can issue:

  • Single-use Virtual Cards: Designed for a one-time transaction, automatically disabled or closed upon successful use.
  • Multi-use Virtual Cards: Suitable for recurring or multiple transactions, remaining active until the spend limit is reached or the card is manually closed.
  • Both card types can be issued in any supported currency where you have an available Balance.
How do I create a Virtual Card?

To create a Virtual Card in detail:

  1. Navigate to Cards > Create Card > Single in your portal.
  2. Select Card Type: Choose between single-use or multi-use based on your intended card usage.
  3. Choose the Currency: The card must be in a currency supported by—and funded from—an existing Balance.
  4. Set the Spend Limit:
    • Enter a limit for the card's total amount.
    • For cards intended for foreign currency transactions, use the built-in Forex Payment Cost Prediction Tool to determine an appropriate limit after considering fees and rates.
  5. Link to a Balance:
    • Pick the Balance that will fund the card.
    • Only available Balances for the chosen currency will be listed.
  6. Add Tags:
    • Complete required and any optional tags (up to 20 per card), such as booking reference, client reference and merchant identifier. Tags facilitate reporting, internal control, and reconciliation.
    • Some tags may be mandatory and set by your organisation.
  7. Review Your Card Details:
    • Double-check that all fields, tags, the spend limit, and Balance selection are correct.
  8. Click Create to generate the card.
  9. Post-Creation:
    • Card details (card number, expiry, CVV) will be immediately available for viewing, downloading, or secure sharing.
What are tags on Virtual Cards, and how do I use them?
  • Tags are custom data fields you attach to each Virtual Card to help track card usage and streamline reconciliation (e.g. booking reference, client reference, merchant identifier).
  • Up to 20 tags can be added to each card.
  • Tags help categorise, filter, and report on card activity.
  • Some tags can be set as mandatory or optional by a Nium operator.
How can I edit card details or tags after issuing a Virtual Card?
  1. Go to Cards > Manage Cards.
  2. Locate and select the card you wish to update and click on (⋮)
  3. Edit any fields or tags directly in the card details view.
  4. Save changes.
How do I view, filter, and export lists of issued Virtual Cards?
  1. Navigate to Cards > Manage Cards.
  2. Use search, filters, or sort options to locate cards by name, status, spend limit, tags, or card reference.
  3. For export, select the Export or Download Card Data button.
    • The exported file (usually CSV) contains card details, including all assigned tags.
    • Use exported lists for reconciliation, audit, or recordkeeping purposes.
How do I block or unblock Virtual Cards (individually or in bulk)?

To block or unblock a single card:

  1. Open Cards > Manage Cards.
  2. Find the card you want to change.
  3. Click the ⋮ menu beside the card and select Block or Unblock.

To block or unblock multiple cards at once:

  1. In Manage Cards, use the checkboxes to select all desired cards.
  2. Click the Block or Unblock button at the top of the table.
  3. Confirm the action.
    A batch reference is generated for audit and tracking of bulk actions.
How do I update the spend limit on a Virtual Card?
  1. Go to Cards > Manage Cards and locate the card.
  2. Click the card and select Update Spend Limit.
  3. Enter the new spend limit.
  4. (Optional) If the card is for foreign currency payments, use the Forex Payment Cost Prediction Tool to estimate the needed limit based on the expected exchange rate and fees.
  5. Confirm the new limit to apply the change.
How do I close Virtual Cards (individually or in bulk)?

To close a single card:

  1. Navigate to Cards > Manage Cards.
  2. Click the ⋮ menu next to the card.
  3. Select Close Card and confirm.

To close multiple cards:

  1. Use checkboxes to select the cards you want to close.
  2. Click the Close button at the bottom of the table.
  3. Confirm the action. A batch reference is generated for all bulk closes, allowing you to track and audit these actions later.

Closed cards are instantly deactivated and can no longer be used for transactions.
